WhatsApp Bot Privacy Policy

This policy applies specifically to the Hia Medical Translator WhatsApp bot. It explains what data we process, why we process it, and how you can request deletion.
1. Data we process
- Your WhatsApp identifier (such as your phone number in WhatsApp Business Platform events).
- Messages and commands you send to the bot.
- Basic delivery details WhatsApp shares with us (such as a message id, time sent, and delivery status) so we can run the bot reliably and avoid processing the same message twice.
- Optional subscription state where WhatsApp subscription features are enabled.
2. Why we process this data
- To reply to your medical-term queries and bot commands.
- To prevent duplicate processing and maintain service quality.
- To detect abuse, secure the service, and maintain logs required for operations.
3. Third-party processors
- Meta WhatsApp Business Platform (connects your chat to our secure servers).
- Supabase (hosted database and related cloud services we use to run the bot).
- OpenAI (or similar) on our servers to enrich term explanations when needed.
- ElevenLabs on our servers for pronunciation audio — the English term or a derived speak line may be sent.
Pronunciation disclaimer: AI-generated voice is for learning only — not medical advice or diagnosis. We may cache audio in Supabase Storage for reuse. See ElevenLabs Privacy Policy.
4. Retention
We retain WhatsApp bot data for as long as needed to operate and secure the service, comply with legal obligations, and handle abuse prevention or dispute handling.
5. Data deletion instructions
- Send a deletion request to privacy@hiamedicaltranslator.com.
- Use the subject line: WhatsApp Data Deletion Request.
- Include the WhatsApp phone number you used with the bot (in international format).
- We may request confirmation to verify ownership before deleting data.
After verification, we will delete or anonymize eligible WhatsApp bot records associated with your identifier, except where retention is required by law or for legitimate security purposes.
